Position Title: IRMS General Manager - self-employed contractor. Salary Grade: Part-time. Equivalent to 20 hours per week, at an hourly rate of £20 per hour. Location: Working from home (except where specified below) |

Position :
The IRMS General Manager is a self-employed contractor to the IRMS. The GM will oversee the day to day operations of the IRMS, and to oversee and/or manage projects undertaken by the IRMS. The GM will report to the IRMS Chair, and to the Trustees. In accordance with our Articles of Association, the GM will attend Executive Committee Meetings as a member of the team but will not have voting rights, The IRMS is a Company, limited by Guarantee; it is governed by four Trustees (Chair, Vice-Chair, Secretary and Treasurer), advised by an Executive Committee. Members of the Executive Committee generally have specific portfolios of responsibility (e.g. Digital, Marketing, Training, Conference). From time to time, the Executive Committee may propose, and the Trustees may agree to special projects (e.g. Toolkits, specific Events, Advocacy initiatives, Skills matrix, MoReq hosting). There are also groups working on aspects such as the IRMS digital operations (e-Group), Communications, and Groups (both geographic and topical). The IRMS contracts for administrative support from Moore Kingston Smith Association Management (MKSAM), Bulletin editorial support from the Tribal Group, and contracts for event services (our annual Conference) from Revolution Events (Rev). This role does not change those functions and services. The General Manager is responsible for overseeing the day to day operation of the Society, owning the schedule of business events, and for overseeing any active projects. This entails monitoring and motivating the IRMS Trustees, Executive Committee, and Officers, all of whom are volunteers, in line with the tasks and responsibilities listed below. Such oversight activities may include: Governance events and operational meetings Liaison with contracted third parties The handling of membership queries and complaints The performance of IT systems Marketing and communications campaigns Strategic events The IRMS annual awards Accreditation processes The content and other membership resources provided Tasks To ensure that the IRMS day to day operations are performed on time, to the benefit of the general public and of IRMS members To ensure that IRMS projects are performed on time, to the benefit of the general public and of IRMS members To oversee our suppliers to ensure that services are performed on time and correctly and raise any issues accordingly Work with the Trustees, Executive and members to increase benefits of the IRMS to the general public and to members To oversee Executive members, projects and working groups To be aware of current issues that might affect the Society To advocate for and represent the IRMS at external meetings and events if and when required Responsibilities: Attend telephone, video, and face-to-face meetings of the Trustees and the Executive Committee To be aware of the deadlines for day to day activities of the IRMS Monitor IRMS activities (both actively, and by receiving formal and informal reports from members of the Executive Committee and Trustees) Chase any activity that is about to miss its deadline, and encourage or assist the person responsible to complete the activity on time If an activity cannot be completed by the responsible person, escalate / reassign that activity. Learn to work with the IRMS website and membership database, provided by Your Membership Attend the annual IRMS conference and participate as appropriate Prepare and submit an annual Report to the IRMS AGM; attend the AGM as a member of the team |
Person Specification:
Essential: You have already established yourself as a contractor/self-employed person (the IRMS will not do this for you) Experience working to support volunteers or similar not-for-profit organisations Experience working remotely, including managing teams, projects and deliverables remotely Excellent time management and prioritisation skills, with the ability to work to tight deadlines Excellent people skills, enabling a sensitive approach to members where necessary Excellent written and verbal communication skills Skilled with Social Media, such as (without limitation) Facebook, LinkedIn, Twitter, Tweetdeck Knowledge of IT software packages e.g. MS Office Suite and Gmail PC literate, including knowledge of various eTools including Google Drive and social media Desirable: The General Manager could be a member of the IRMS but this is not essential The General Manager should be aware of the workings of the IRMS and of the services that the IRMS offers An understanding of the information and records management sector. Experience working with Charities/Charity Governance (but not essential) Desire to learn, collaborate and share knowledge Previous experience working with a voluntary organisation similar to the IRMS Flexible attitude in approach and methods of working |
